simpleERB’s payment system is enforced, meaning bookings are automatically cancelled if requirements are not met by the set 'due date'. You can actively monitor these statuses through the Reports section.
How to Monitor and Chase Payments
If a booking is approaching its due date and payment details haven't been supplied, you can take action directly from the Individual Booking Page (IBP):
- Use the 'auto resend email' button in the payment details section to trigger a fresh request.
- The system records a timestamp of this action for your internal records.
- Tip: Always set a 'due by' date in your payment rules so the system automatically sends reminder emails to customers on your behalf.
Using the Payment Report
Access your reports here: simpleERB Reports.
- Filtering: Filter by booking date range and payment type. Reports can be exported as CSV files.
- Historical Data: Tick 'show additional history' to see granular details, including payment/refund timestamps, email logs, and manager override records.
- Analyzing Cancellations: Select the 'unpaid cancellations' criteria to identify trends-such as if specific party sizes are consistently failing to complete their booking requirements-helping you adjust your rules accordingly.
Visual Aids
- Booking Icons: Status icons appear directly on customer bookings across all diary views for at-a-glance monitoring. Refer to the icon key at the bottom of your screen.
- Source Identification: In the payment report, check the 'Booking Source' column for labels like ‘enforced telephone’ or ‘enforced widget’ to differentiate between new enforced processes and legacy booking requests.
*Note: We currently integrate with Stripe and takepayments. Please be aware that your payment provider will charge a transaction service fee on all processed payments.
